This Privacy Policy explains how WarmLane ("WarmLane", "we", "us", or "our") collects, uses, shares, and protects personal information when you visit warmlane.io, join our waitlist, contact us, or use our software and services (together, the "Services"). By using the Services, you agree to this Policy.
1. Who we are
WarmLane provides lead-generation software and a managed "done-for-you" service that runs outreach and answers inbound enquiries on behalf of business customers. For questions about this Policy or your data, contact us at info@warmlane.io.
2. Information we collect
Information you give us. Your name, work email, company, phone number, the details you submit through our waitlist or "free growth plan" forms, support messages, and account information. If you purchase a paid plan, payment is processed by our payment provider (Stripe); we receive billing details such as your name, billing address, and the last four digits of your card, but not your full card number.
Customer content. If you use the Services, you may provide contact lists, prospect data, message content, and business information. We process this on your behalf and in accordance with your instructions (see "Data we process for customers" below).
Information collected automatically. Basic usage and device information (such as pages viewed, referring site, browser type, and approximate region) collected through privacy-friendly, cookieless analytics (Plausible). Our analytics provider does not use cookies and does not track you across other websites.
3. How we use information
- To provide, operate, and improve the Services;
- To respond to enquiries, prepare your growth plan or quote, and provide support;
- To process payments and manage subscriptions;
- To send service and account communications, and — where permitted — relevant marketing you can opt out of at any time;
- To maintain security, prevent fraud and abuse, and comply with legal obligations.
4. Legal bases (EEA/UK)
Where applicable law requires it, we rely on the following legal bases: performance of a contract with you; our legitimate interests in operating and improving our business; your consent (for example, optional marketing); and compliance with legal obligations.
5. How we share information
We do not sell your personal information. We share it only with:
- Service providers / sub-processors who help us run the Services, including hosting and infrastructure (Amazon Web Services), payments (Stripe), email and messaging delivery (e.g. Amazon SES, Mailgun, Twilio), AI processing (e.g. OpenAI), calendar integrations (Google, Microsoft), and analytics (Plausible). These providers may process data only as needed to provide their service to us.
- Legal and safety recipients, where required to comply with law, enforce our terms, or protect rights, safety, and property.
- Business transfers, in connection with a merger, acquisition, or sale of assets, subject to this Policy.
6. Data we process for customers
When we run outreach or inbound handling for a customer, the customer is the controller of the contact data they provide, and WarmLane acts as a processor handling that data on the customer's documented instructions. Customers are responsible for ensuring they have a lawful basis and any required consent to contact the people on their lists. We process such data only to provide the Services and apply suppression and opt-out (including STOP/unsubscribe) handling.
7. Cookies and analytics
Our marketing site uses privacy-friendly, cookieless analytics and does not use advertising or cross-site tracking cookies. Our web application may use strictly necessary cookies required to keep you signed in and operate core features.
8. Data retention
We keep personal information for as long as needed to provide the Services and for legitimate business or legal purposes (for example, accounting and dispute resolution). When no longer needed, we delete or anonymise it. You can request deletion as described below.
9. Security
We apply reasonable technical and organisational measures to protect personal information, including encryption in transit, access controls, and trusted infrastructure providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. International transfers
We and our providers may process information in countries other than yours. Where required, we use appropriate safeguards (such as standard contractual clauses) for international transfers.
11. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. California residents may have rights under the CCPA/CPRA, including the right to know, delete, and opt out of "sales" or "sharing" (we do not sell personal information). To exercise any right, email info@warmlane.io; we will respond as required by law. You will not be discriminated against for exercising your rights.
12. Marketing opt-out
You can opt out of marketing emails at any time using the unsubscribe link or by emailing info@warmlane.io. We will still send necessary service messages related to your account.
13. Children
The Services are intended for businesses and are not directed to individuals under 18. We do not knowingly collect personal information from children.
14. Third-party links
Our site may link to third-party websites. We are not responsible for their privacy practices, and we encourage you to review their policies.
15. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here and revise the "Last updated" date above. Material changes will be communicated where appropriate.
