Plumbing answering service cost: what you really pay per call
A human plumbing answering service costs roughly $7 to $14 per call once you do the math. At 150 calls a month, Smith.ai's human Basic plan comes to $1,440 ($810 + 60 extra calls × $10.50) and Ruby's per-minute plan to $1,725 (at a three-minute average call).
AI answering is far cheaper: at 150 calls, Goodcall is about $104, Rosie's booking tier $149, and Warmlane's AI Sales Agent about $62–$70 - $39.50/month founding price plus your own estimated phone and AI usage. A human service is still worth paying for if most of your calls need real judgement or payment on the phone.
How do answering services for plumbers charge?
Answering services use four pricing models. Which one you are on decides whether a busy month costs you a little more or a lot more.
- Per call (human). You buy a bundle of calls and pay a set fee for each call over it. Smith.ai's human receptionist plans work this way: Starter is $300 for 30 calls, then $11.50 per call.
- Per minute (human). You buy a bundle of receptionist minutes. Ruby starts at $250 for 50 minutes. Longer calls cost more.
- Per unique customer (AI). Goodcall charges by how many different people call, not how many times. Starter is $79 per agent for 100 unique customers, then $0.50 each.
- Per minute (AI). Rosie sells minute bundles: $49 for 250 minutes, or $149 for 1,000 minutes on Scale, the first tier with calendar booking and call transfers.
- Flat (AI). Warmlane's AI Sales Agent is one monthly price with unlimited calls - $39.50 at the founding price (list $79) - and you pay your own Twilio and OpenAI usage directly at cost.
Warmlane is an AI Sales Agent: it answers every call, then qualifies the caller, handles the price question and books the job. That matters when comparing costs, because a cheap service that only takes messages still leaves you returning every call yourself.
What does a plumbing answering service cost at 50, 150 and 300 calls?
Here is the monthly bill for each pricing model at three call volumes. 50 calls is a solo plumber in a quiet month. 150 is a busy one- or two-truck shop. 300 is a growing shop, or anyone's freeze week.
| Service · model | 50 calls | 150 calls | 300 calls |
|---|---|---|---|
| Smith.ai human · per call | $530 $10.60/call | $1,440 $9.60/call | $2,100 $7.00/call |
| Ruby · per minute | $720 $14.40/call | $1,725 $11.50/call | Above published tiers |
| Goodcall · per unique customer | $79 $1.58/call | up to $104 $0.69/call | up to $179 $0.60/call |
| Rosie Scale · per minute (with booking) | $149 $2.98/call | $149 $0.99/call | $149 $0.50/call |
| Warmlane AI Sales Agent · flat + usage (estimate) | ≈ $48–$50 ≈ $0.97/call | ≈ $62–$70 ≈ $0.44/call | ≈ $85–$100 ≈ $0.31/call |
Our own arithmetic from each vendor's pricing page, verified 29 September 2026: Smith.ai (Starter $300/30 calls then $11.50; Basic $810/90 then $10.50; Pro $2,100/300 then $8.50 - cheapest plan used at each volume: 50 → Starter $300 + 20 × $11.50; 150 → Basic; 300 → Pro), Ruby ($250/50 min, $395/100, $720/200, $1,725/500; three-minute average call assumed, so 50 calls = 150 min and 150 calls = 450 min; 300 calls = 900 min, above Ruby's largest published plan), Goodcall (Starter $79 for 100 unique customers, then $0.50 each; "up to" because we assumed every caller is a different person - repeat callers lower it; Starter keeps call details for 7 days), Rosie (Scale $149 for 1,000 minutes with booking and transfers; Rosie's $49 Professional plan covers 50 calls but has no calendar booking or transfers). Warmlane: $39.50/month founding price for our first 50 customers, locked for life (list $79 - add $39.50 to each Warmlane figure), plus an estimate of your own Twilio and OpenAI usage at cost: about $15–20 at 100 calls, scaled in proportion (about $8–10 at 50 calls, $23–30 at 150, $45–60 at 300). Your actual usage depends on how long your calls run.
Two things jump out. First, at 150 calls the human services cost roughly 10 to 28 times more than the AI options, and even at 50 calls the cheapest human bill is more than three times the most expensive AI one. Second, the per-call price of the human services barely falls as you grow, while the flat price gets cheaper per call the busier you are.
Call length moves the per-minute numbers a lot. If your calls average two minutes instead of three, 50 calls on Ruby fits the $395 plan instead of the $720 one. That is why counting your own calls and minutes (below) is worth twenty minutes of your time before you sign anything.
At every volume in this table, every AI option costs less than the cheapest human plan. The real choice between AI tools is what each one does on the call - take a message, or qualify, quote and book.
Worked example: what does Smith.ai cost at 150 calls a month?
Here is the calculation for a plumbing shop taking 150 calls a month on Smith.ai's human receptionist plans, step by step:
- Basic plan: $810 per month, which includes 90 calls.
- Calls over the bundle: 150 − 90 = 60 extra calls.
- Overage: 60 × $10.50 = $630.
- Total: $810 + $630 = $1,440 per month, or $9.60 per call.
Check the alternatives: Starter would be $300 + 120 × $11.50 = $1,680, and Pro is $2,100 flat for 300 calls. So $1,440 on Basic is the cheapest Smith.ai human option at 150 calls. Over a year, that is $17,280.
The same 150 calls on Warmlane's AI Sales Agent: $39.50 + roughly $23–30 of your own usage = about $62–$70 a month, or about $750–$840 a year at the founding price. For example, if the agent books one drain-clearing job a month that would otherwise have gone to voicemail, that job alone would likely cover the monthly cost. If you want to see what a call actually sounds like before you trust it with your phone, hear a 50-second sample call - a dramatized burst pipe at 11:48 PM, booked before midnight.

How do I count my own calls before choosing a plan?
Every number above depends on your call volume, and most plumbers guess it wrong in both directions. Here is a simple way to get the real figure in about twenty minutes:
- Pull your call log. Your mobile carrier's online account shows call detail for each billing period. If your business line is Google Voice, open the Calls tab on the web; you can also export your history with Google Takeout. A VoIP phone system has a call report in its dashboard.
- Count inbound calls for four full weeks. Only calls coming in to the business number. Ignore your own outgoing calls.
- Mark the missed ones. Calls you didn't pick up, and calls under 10 seconds that may have been a hang-up on voicemail.
- Note the average length. Total minutes on answered calls divided by the number of answered calls. Per-minute services bill on this.
- Repeat for your busiest month. Look back at last winter's first freeze. Pricing that works in April can look very different in January.
Your missed-call count is the number that matters most. Multiply it by your average job value and the share of callers you think would have booked, and you have a rough monthly cost of not answering. Our missed-call cost calculator does that math for you.
What hidden costs should I ask an answering service about?
The headline price is not always the bill. Before signing with any service, human or AI, ask these questions and get the answers in writing:
- Setup fees. AnswerConnect charges a $49.99 one-time setup fee and puts its plan prices behind a form. RainVoice lists a $997 setup fee, waived on a six-month term. Ruby says it charges no setup or onboarding fees. Warmlane's setup is done for you at no charge.
- Overage rates. Smith.ai publishes its per-call overage ($11.50, $10.50 or $8.50 depending on plan); RainVoice publishes $0.25 per extra minute. Ruby and Rosie do not publish an overage rate - ask what happens when you run over in a freeze week.
- Minimums. A $300 plan costs $300 even in a month you take 12 calls. Ask whether unused calls or minutes roll over.
- What counts as a call. Ask whether spam, robocalls, wrong numbers and hang-ups are billable.
- Add-ons. Rosie's texting add-on is $50/month for 25 conversations, then $1 each. Booking on Rosie starts at the $149 tier, not $49.
- Record keeping. Goodcall's Starter plan keeps call and customer details for 7 days. If you want a history to look back on, check the retention on your tier.
- Usage billed elsewhere. With Warmlane you pay Twilio and OpenAI directly - about 6¢ per call minute plus $1–2/month for the number. It is billed at cost with no markup, but it is a second line on your statement and you should budget for it.
One more cost no vendor lists: the calls a message-only service leaves for you to return. If the service writes down "leaky water heater, call back," you still have to phone the customer, quote, and book - often after they have already called someone else. For that comparison in more depth, see AI Sales Agent vs answering service.
When is a human answering service worth the cost?
A human service at $1,440 a month is not a bad deal for every plumber. It is worth it when:
- Your calls need real judgement. Commercial accounts, insurance work and complicated restoration jobs can involve conversations that a trained person handles better than a script.
- You need payments taken on the phone. Warmlane does not take payments or deposits.
- You need outbound calling. Warmlane answers inbound calls and calls back missed callers; it does not run outbound campaigns, maintenance reminders or reactivation lists.
- Your bookings must land directly in field-service software. Warmlane books onto Google Calendar or Calendly and exports leads as CSV; it does not connect to Jobber, Housecall Pro or ServiceTitan. See AI call answering with Jobber and Housecall Pro for the workarounds.
- Many of your callers strongly prefer a person. If your customer base is older and you hear this often, take it seriously.
For most residential plumbing shops, the calls are routine: "Do you cover my area? How much for a drain? Can someone come tomorrow?" Those are the calls an AI agent handles well, and they are most of the volume. A common middle path is AI answering every call, with genuine emergencies warm-transferred to you or your on-call plumber. Our guide to after-hours answering for HVAC walks through setting up those emergency rules, and they apply to plumbing too.
Trying it costs nothing. Day 1 you start the trial with no card. During days 1–14 our team sets up the agent for free and it answers your business calls. On day 15 you add a card to keep it, or the account pauses - nothing charged, nothing deleted. Full details on the pricing page and the plumbing and HVAC page.
